A capsule costs roughly three to four times more per cup than ground coffee over a multi-year comparison, even though the machine itself is often cheaper to buy than a decent filter unit. That gap is invisible on the purchase order and only shows up in the consumables line a year later. For a property running consistently high occupancy with heavy in-room consumption, the volume math tips back toward a kettle and tray set with a filter or instant option, once turnover crosses roughly forty cups a day per unit.
For a lower-turnover boutique property, or one positioning coffee as part of the room's presentation rather than a cost centre, the capsule's per-cup premium is small in absolute terms and buys a guest experience upgrade that a kettle cannot match.
A capsule station turns fast: empty the used-capsule bin, restock a fixed number of capsules, wipe the machine. There is no loose ground coffee to spill, no filter to change, no kettle interior to descale on a schedule. On a tight room-turn target this matters more than the per-cup cost, particularly at higher room counts where housekeeping minutes are the actual constraint, not the beverage budget.
A kettle and tray set takes longer to reset: sachets need counting and restocking individually, the tray needs wiping, and the kettle itself needs periodic descaling that a capsule machine's sealed brewing chamber avoids entirely. None of that is difficult, but it adds up across every room, every day, at scale.
Multiply daily occupied rooms by an assumed one to two cups per stay, then price both options against your actual capsule and coffee supplier quotes, not a rule of thumb from a different market. The crossover point moves depending on local capsule pricing and how tightly housekeeping labour is already stretched.
Many properties do not need to choose exclusively. A common pattern for a boutique or upper-midscale independent hotel is a capsule machine in suites and higher-tier rooms, where the housekeeping-time saving and guest-facing upgrade both matter more, and a kettle and tray set in standard rooms, where volume and cost control matter more. This also limits exposure if a single capsule format goes out of production or a supplier relationship ends, since only part of the inventory is locked to one system.
Whichever format is chosen, treat the decision as a category-wide standard rather than a room-by-room one: mixing formats unpredictably across similar room types creates a restocking and spare-parts headache that outweighs whatever was saved on the unit price. It also matters at reorder time, since a supplier holding stock across both formats can fill a top-up order for either without pushing the whole property onto a single vendor's capsule ecosystem.
Price both formats against the same brief before deciding: capacity per cycle, noise level on the smaller countertop units common in compact rooms, and whether the full bedroom FF&E category needs to be re-specified around the choice or can absorb it as a like-for-like swap at the next replacement cycle.
