Mechanical or electronic door locks: the real cost difference is not the guest key, it is what happens when a staff master key goes missing.
An electronic RFID lock costs 3 to 5 times more per door to install than a mechanical mortice lock, but the difference that actually matters is what happens when a master key goes missing. On a mechanical system that means rekeying every door it opened; on an electronic system it means revoking one credential at the front desk in under a minute.
This is one of the few FF&E decisions with a genuinely calculable payback period, and it is usually deferred anyway, because the upfront invoice is the only number anyone compares. The ongoing cost of the alternative rarely gets budgeted at all, and it should.
Installed cost tells only half the story for hotel door locks.
The individual lost key is not what tips the economics, the master key is. A lost or unreturned staff master key on a mechanical system typically forces a rekey of every door it opened, done room by room while each room is out of inventory. For a 40-room property, that is commonly EUR 1,400 to EUR 2,200 in parts and labour and one to two days of an engineer's time, on top of the lost room revenue while doors are being worked on. On an electronic system, revoking that same master credential is a front desk action, seconds, no hardware touched, no room taken out of service.
Properties with high seasonal staff turnover, resorts hiring and releasing housekeeping and maintenance staff each season, are the ones where a mechanical master-key loss is most likely and most disruptive. A small owner-operated property with the same two or three staff for years carries far less of this risk, which changes the calculation even at the same room count.
