Trade license, on-ground presence and RFQ process all tell you something different about a UAE procurement partner. Here is what to actually check before you commit.
Choosing a hotel FF&E procurement partner in the UAE means checking three things a general vendor-evaluation checklist will not tell you: whether their trade license lets them contract directly with your property, what their actual RFQ and vendor-evaluation process looks like in writing, and whether "on the ground in Dubai" means a staffed office or a mailing address.
A procurement partner sits between you and dozens of individual suppliers, consolidating specification, ordering and delivery into one relationship. Get that relationship wrong and you inherit every downstream supplier problem without the leverage to fix it directly, since your contract is with the partner, not the factory.
The same licensing distinction that applies to a UAE furniture supplier applies to a procurement partner. A mainland-licensed partner, issued through Dubai Economy and Tourism or the relevant emirate authority, can contract and invoice your hotel directly. A free zone-licensed partner needs a mainland branch or a distributor relationship to do the same, which changes who you are actually contracting with and where liability sits if something goes wrong.
A credible procurement partner can show you their RFQ process in writing, not describe it verbally in a sales call: vendor selection against stated criteria, a formal request for proposals sent to multiple suppliers per category, a documented proposal evaluation, and a negotiation stage before contract. "We have an office in Dubai" can mean a staffed showroom and warehouse, or a virtual office address used for the trade license and nothing else. Ask to visit. A partner managing a live UAE project should be able to arrange a site or warehouse visit on reasonable notice; persistent difficulty arranging one is itself an answer.
If a procurement partner cannot name a specific UAE hotel project they have delivered in the past twelve months, or gives a vague answer about which emirate, treat that as a real gap in their local track record, not an oversight in the sales conversation.
A procurement partner earns its markup by running a multi-supplier RFQ and consolidating delivery across categories, which pays off on a full property fit-out spanning bedroom, bathroom, housekeeping and F&B. For a narrow, single-category order, a refurbishment of just the guest-room casegoods, for instance, going directly to a specialist supplier can be faster and cheaper, since you are not paying for coordination across categories you do not need coordinated. Match the model to the scope of the order, not the other way round.
